Please check your invoice in full as upon receipt of payment you are verifying that all information is correct and Northcutt Travel Agency LLC will not be responsible for errors or omissions if not brought to the attention of the agency immediately.
Payment must be received by the due date to avoid vendor cancellation. If payments are not received on the due date on the invoice, Northcutt Travel Agency LLC will not be responsible for any fees associated with rebooking or penalties.
PASSPORTS: Everyone, including children and infants, MUST have a VALID passport to travel internationally (not Passport Card). Failure to comply will result in denial of boarding, no refund, no exceptions (out of the USA). Northcutt Travel Agency LLC is NOT responsible for passports in ANY way. Passports are required to be valid for 6 months from your return date. PASSPORT CARDS ARE NOT VALID FOR TRAVEL INTERNATIONALLY VIA AIR!
It is the traveler’s responsibility to ensure that they are eligible to travel to all countries that are part of their travel itinerary. If you are unsure about your eligibility to travel, including restrictions due to criminal records, please inform us immediately.
Some countries require a visa for transit or entry. Passengers are responsible to ensure that they have all the proper documents for entry. All names on documents must match the legal name on your photo I.D., and travel document information must match tickets.
Please check the State Department website at https://travel.state.gov for further information. Immunizations may also be required. Failure to comply with these regulations may result in denied boarding, denied entry, and/or government imposed fines.
If you are a citizen of another country, there may be additional requirements. Check with the nearest consulate or embassy of the destination you are travelling to and find out the entry requirements for non-U.S. citizens
Northcutt Travel Agency LLC is not responsible for failure to present or obtain these documents for travel.
CRUISES : US Citizens on closed-loop cruises (cruises that begin and end in the same U.S. port) and travel to destinations in Mexico, Canada, the Caribbean, the Bahamas, and Bermuda are able to re-enter the United States with proof of citizenship other than a passport or passport card. Acceptable proof of citizenship includes an original or certified copy of a government issued birth certificate (raised seal and signature)
and a laminated government issued picture ID (typically, driver's license), Consular Report of Born Abroad Certificate, or a Certificate of Naturalization. NOTE: Baptismal records and certificates issued by a hospital are not acceptable.
HONEYMOON & ANNIVERSARY TRAVELERS: You MUST bring a copy of your marriage certificate to qualify for any complimentary honeymoon/anniversary package (photo copy is recommended). Failure to have such proof of marriage will result in the resort denying these complimentary privileges (if applicable). PLEASE notify your Northcutt Travel Agency LLC agent if you are celebrating a Honeymoon or Anniversary so that they can annotate this in your reservation. Typically resort will honor these packages up to 30 days before or after your honeymoon/anniversary date.
CHANGES TO RESERVATIONS: ANY changes made to your existing room reservation are subject to the current rates, promotions, and terms at the time of change. To process any changes - a change fee of $25 will be assessed by Northcutt Travel Agency to make the changes.
RATE CHANGES ON CRUISES: If there is a Rate Change - Consumer agrees to pay NTA a $25 change fee in order to process a rate change on a cruise.
FINAL PAYMENT: The final payment MUST be received NO LATER THAN the due date on your invoice. Final payments are not automatically charged. Please note your calendar of this final payment date as reminders may not be sent, however we try to send reminders about a week before it’s due. You must go to http://www.northcutttravelagency.com/ on the date you'd like the payment to be posted. Northcutt Travel Agency is not responsible for cancellations due to payments made after the final payment due date and time.
CANCELLATION PENALTIES: Pertaining to the room portion of your trip; once your reservation is made Northcutt Travel Agency LLC has the right to 10% of the nonrefundable penalty, this will be assessed up until any additional resort penalties take effect. The aforementioned is per person or entire room canceling (so if 1 person within the room cancels these same rules apply for that person).
Regarding Airline tickets: if Northcutt Travel Agency LLC booked your tickets, they are 100% non- refundable and subject to individual airline penalties/fees (see insurance below). The penalty for cancellation will be $50/person with most vendors, but this could be entire deposit if air is included. If any air is booked through a Southwest Vacation Package, the air MUST be paid in full in order to receive a future air voucher.
If the client chooses to contact the hotel, airline, or cruise line without consulting with the Agency first for cancellations, the travel agency will not be responsible for any collections of funds unless a $150 payment is paid up front to handle the case.
Northcutt Travel Agency will send you an invoice for $50/person cancellation fee. This fee can be applied to future bookings at the agents discretion.
Deposits - All Deposits are nonrefundable unless otherwise advised
No refund will be issued for cancellation due to actual or threatened terroist events. If travel plans are delayed or cancelled for any reason there will be no refunds issued by Northcutt Travel Agency, except in those circumstances where Northcutt Travel Agency has issued its own schedule of cancellation, applicable to all or a portion of a booking (whenever such a schedule is issued., it will specifically indicate which trip component(s) it is issued for and it will apply ONLY to the specific trip components(s) indicated.
Please note that a 'trip' or 'booking' often consists of multiple components, each of which may carry its own cancellation penalties (example: an airline ticket, a pre-trip hotel night, a multi-day adventure vacation by a tour operator, a post-trip extension designed by Northcutt Travel Agency, all of which may be subject to a different set of cancellation policies.
LATE FEES: Reservations will be cancelled if final payment is made after the due date. In the rare occasion that the agency can salvage the reservation after final payment - Final payments not received prior to the due date above will incur a $25 per person late fee. All reservations are subject to cancellation and hotel penalties as described above if final payment is not received on the due date. Late fees are not covered by the travel insurance and are always non-refundable.
TRAVEL INSURANCE: Insurance can be purchased at the time your reservation is made; most cancel for any reason insurance cannot be added after the initial trip deposit is received. There are multiple types of insurance including Cancel for Any Reason.
It is not the responosibility of Northcutt Travel Agency to include or not include the travel insurance. It must be requested by the client.
Insurance does NOT cover items you purchase outside Northcutt Travel Agency LLC (i.e. airfare, tours, excursions etc). Please Note: if you initially reserve a room only package & add airfare to the package through Northcutt Travel Agency LLC at a later date your cancel for any reason insurance policy cost will be adjusted to accommodate the revised total trip package cost at that time.
This plan does not include increased rates associated with a change in the number of individuals occupying a room. If the number of individual occupying a room changes, the remaining travelers will be responsible for any additional costs incurred as a result of the change in the per-person occupancy rate.
In the event of a cancellation, it is up to the discretion of the airline or cruise line to have non refundable air or issue air vouchers whether insurance is purchased or not. Monetary value for air will not be dispersed unless refunded by the airlines even when insurance is purchased. Insurance will not be valid if the trip is cancelled after original departure date.
ARBITRATION: If a dispute arises out of or relates to this contract, or breach thereof, and if the dispute cannot be settled through negotiation, the parties agree first to try in good faith to settle the dispute by mediation administered by the World Travel Dispute Center under the applicable guidelines as established by International Forum for Travel and Tourism (iFTTA) before resorting to arbitration, litigation, or some other disppute resolution procedure. If mediation is not successful, the parties will settle by binding arbitration administered by the World Travel Dispute Center under the applicable guidelines as established by IFTTA.
LAW: All parties hereby consent to the jurisdiction of all state and federal courts sitting in Harris County, State of Texas, and agree that venue for any such action shall lie exclusive in such courts without regard to choice of law priciples, and agrees that such courts shall be the exclusive forum for any legal actions brought in connection with this Agreement or the relationships among the parties hereto.
SEVERABILITY: In the event any provisions or covenants (or any portion thereof) of this Agreement shall be held invalid or unenforceable by any court of competant jurisdiction, such holding shall not invalidate or render unenforceable any other provisions hereof.
TRAVELING WITH CHILDREN: Children under 18 years of age not traveling with both parents or legal guardian(s) may need to present a notarized letter from the absent parent/guardian granting permission to travel outside the United States and provide emergency medical care if necessary. Northcutt Travel Agency LLC is not responsible for lack of compliance to provide proper documentation to airport authorities. It is the responsibility of the traveler & the traveler’s parents/guardians to provide proper documentation to airport authorities.
TRAVEL DOCUMENTS: Travel documents will be sent to you no later than ten (10) days prior to departure date. Please read through these documents immediately; misprints, misspellings, incorrect dates etc. are not the responsibility of Northcutt Travel Agency LLC included in your travel documents (if airfare is purchased through Northcutt Travel Agency LLC) are airline electronic ticket receipts (proof of purchase, not boarding passes or actual tickets). Boarding passes are printed at the time of check in; online with the airline directly, or at the airport when showing passport & checking in luggage. It is very important that you take your travel documents with you in addition to passports and a major credit card for any baggage fees that may apply.
TRANSPORTATION : Please allow the transportation to be arranged by your travel agent, if you have not requested Transportation then it will not be included in your package
BAGGAGE FEES: Due to continual changes in airline baggage policies it is suggested that you inquire with your airline's website for up-to-date fees & information. Northcutt Travel Agency LLC is NOT responsible for additional fees incurred for baggage or seating. BAGGAGE FEES ARE NOT PART OF AN ALL-INCLUSIVE PACKAGE!

AIRLINE SCHEDULE CHANGES & CANCELLATIONS: Occasionally airlines change flight schedules, & may even cancel flights entirely. These changes are beyond Northcutt Travel Agency LLC's control. In the event that such a situation occur; Northcutt Travel Agency LLC will do it’s very best to assist you with finding best possible alternate option(s). If the flight time change is minor (2 hours or less) the airline will automatically make the change (airline policies/rules
entitle them to legally do so). Northcutt Travel Agency LLC will try to notify you of major changes. Please Note: there may be additional costs to re-book a new flight should the airline cancel or make a major change to your original flight itinerary. Northcutt Travel Agency LLC is NOT responsible for any additional costs or fees imposed by the airlines. It is the responsibility of the passenger to check for last minute airline flight time changes within 24 hours of departure. Northcutt Travel Agency LLC is not responsible for changes that may occur within 24 hours of original flight departure time.
RE-CONFIRM YOUR FLIGHTS: Northcutt Travel Agency LLC advises you personally re-confirm your flight schedule within 24 hours prior to departure directly with the airline in case of any last minute changes or delays. Most airlines allow you to check in online 24 hours prior to departure using the “Record Locator”
AIRLINE CHECK IN: Please check in with your airline at the airport no later than two (2) hours prior to scheduled flight departure time.
RESORT CHECK IN: Check-in time at most resorts is 3:00pm (local time). If you arrive prior to 3:00pm your room may not be ready. The resort will store your luggage in a secure location on property so you may start enjoying your vacation without delay. Change into something more comfortable and enjoy a nice lunch, swim in the pool, walk along the beach, etc. until you are notified that your room accommodation is ready for check in.
